The Technology and Communications Committee shall review, and advise and make recommendations to staff and the Board regarding,
(a) the use of technology to enhance the operations of the Club and
(b) methods of communication between the Club (including the Board and staff) and the membership.

(i) make the description of the role of each standing committee reflect actual practice and the Board’s intention (informed by input from each committee), and to make the wording of the descriptions more consistent and

1. Purpose. The Technology and Communications Committee shall review, and advise and make recommendations to staff and the Board regarding:
(a) the use of technology (computers, networks, communications equipment, software, databases and the like) to enhance the operations of the Club, such as
• the Internet
• office equipment
• retail sales equipment and systems
• security and entry control systems
• entertainment equipment
• electronic business forms, ordering systems and financial software
• other equipment and systems which might be used to enhance operations, efficiency and members’ experiences
(b) methods of communication between the Club (including the Board and staff) and the membership, such as
• the Club’s primary website and more specialized websites
• interactive systems for court reservations, booking, ordering, etc.
• accessible repositories of information regarding the Club or aspects of it
• systems for sharing information among smaller groups of members (the Board, committees, groups engaged in an activity, etc.)
• Google groups and the like
• social media platforms (Facebook, Instagram, Twitter etc.)
• bulletin boards, listservs, etc.
• e-mail marketing and distribution platforms
• newsletters
• surveys and polls
Activities may include:
• conferring informally with staff to gather information, provide information and make suggestions for staff action
• formally recommending, by MSP, that the Board adopt policies or take actions
• advocating for capital expenditures, plans and programs

1. Meetings. The Technology & Communications Committee meets at 6:00 pm on the third Wednesday of every month, or at such different or additional times as determined by the Chair.
2. Facebook Public Page and "Secret" Group Policy. The following addresses what posts and information should be on:
• the Club’s public page (the business page at www.facebook.com/SeattleTennisClub.org) versus
• the Club’s "secret" Facebook group (at www.facebook.com/groups/stcmembers).
It also includes information on how the public page and group should be used by the Club.
Purpose in General. The Club’s General Social Media Policy lists four purposes for a social media presence.
The limited purpose of the public page is only: to maintain the positive public image of the Club. Note that this means just maintenance of the public image, not proactive efforts to establish, create or enhance the image.
The other three are for the secret group:
• to distribute information to Club members about Club events, activities, facilities and policies, as well as other matters of interest to them as members of the Club.
• to provide a forum for communication among members about Club-related topics.
• to provide one method (among others) for gauging the opinions of Club members and getting member input.
Specific Examples. Belongs on the public page:
• Announcement of the Washington State Open, and information about it.
• Occasional photos (perhaps as many as one a month) of the grounds, facilities, views of Mount Rainier and the like, without identifiable individuals in them.
• Information that is otherwise being distributed to members of the general public or a significant number of non-members.
Belongs on the private page: pretty much everything else. This would include:
• Information about upcoming or past Club events or activities (other than the Washington State Open).
• Photos of member events, activities and the like.
• Information and discussion of issues relevant to Club operations and activities.
Appropriate Actions. Staff and members should:
• Set the public page so that “visitor posts” are not published until they have been reviewed by the Club’s admin.
• If members attempt to make visitor posts on the public page: direct them to the secret group as the appropriate place for such posts.
• If non-members attempt to make visitor posts on the public page: allow those that are innocuous and ignore others.
• If members comment on posts on the public page: generally direct them to the secret group, except where the comment is helpful to and appropriate for the general public (e.g. some additional information about the Washington State Open).
• If non-members comment on posts on the public page: allow those that are innocuous and remove others.
Use of the Public Page and Group. When members post "customer service" type questions, staff members should deal with them as promptly as possible. While the appropriate response depends on the nature of the question, often it should be to invite the member to discuss it with a staff member by phone, email or in person. This invitation might come from that staff member, or from the communications director or someone designated by her.
The Club’s public page should not "like" other pages. In particular, the Club should not engage in the exchange of "likes" with vendors or the like.
The Club may encourage the use of the #seattletennisclub hashtag by those who wish to post (on Facebook or elsewhere) regarding their special events held at the Club If the #seattletennisclub hashtag is misused (on Facebook or elsewhere), the Club should consider appropriate action to stop the misuse as a matter of trademark law.
3. Adoption and Modification. The procedures in Part C may be adopted and modified by resolution of the Technology and Communications Committee, so long as they are consistent with the major policies in Part B, other Club rules and policies and any action by the Board of Trustees.
