A. Transactions with Members

1. Generally. In determining whether to enter into, terminate, renegotiate or modify an arrangement whereby the Club purchases goods or services from a Club member (or a related person or entity), all decisions should be made considering only the interests of the Club, and not the interests of the member with which the Club is doing business.

Arrangements referred to include without limitation: (i) paying a member a fee to make a presentation at an event; (ii) purchasing goods from a member for sale as part of the Club's Food & Beverage operations; or (iii) engaging a member as a compensated consultant. In general, the default rule is that such arrangements should be declined, unless it is established that it is clearly preferable for the Club to enter into an arrangement with a member, rather than to deal with a nonmember.

2. Hiring Members as Employees. (a) Members may not teach classes for compensation or be employees of the Club except with the approval of either:

(i) the General Manager, but only for seasonal or temporary employees; or

(ii) the Board of Trustees.

In either case, approval should generally be given when the General Manager or Board determines the proposal to hire the member is being made for the benefit of the Club and neither (1) for the benefit of the member, nor (2) as a "favor" to the member or his or her family. An example where approval would be appropriate is a member who combines a strong history and interest in the Club with a particular ability of value to the Club (e.g. to teach or play tennis), which ability is not readily available from non-members interested in working for the Club on ordinary terms.

(b) A member who accepts employment with the approval of the General Manager pursuant to clause (a)(i) shall do so on the condition that, while he or she is employed by the Club, his or her privileges as a member of the Club shall be suspended (without suspending or affecting the member’s obligation to pay dues and other charges). The Board of Trustees may approve employment of a member with or without this condition.

Hiring of members has been approved pursuant to (a)(ii) on many occasions, particularly when the member has particular expertise, as is often the case with tennis pros. Among those approved: Junior Tennis Director (7/25/24); Jeff Eicher, tennis pro (1/26/12); Lisa Menti, part-time tennis pro (5/22/08); Charlie Burke, summer tennis assistant (6/22/06); Chris Lewis, part-time assistant tennis pro (3/2/06); Elizabeth Amento, independently contracted children's yoga instructor (1/27/05); Julie Verdieck, temporary part-time employee in Pro Shop (8/26/04)

B. Surveys

No member survey shall be distributed, whether by staff, a committee or any other Club group, without Board approval.

Staff is authorized to conduct short surveys with members/diners immediately after events to provide feedback to the staff for improvement in member events.
